Terms and conditions

Materials & Responsibility

While every effort is made to handle all tapes, photographs, and other materials with care, we cannot be held responsible for damage caused by pre-existing wear, age, deterioration, or tape degradation.

Many VHS tapes and other media formats are several decades old and may contain playback issues beyond our control. In some cases, tapes may not be playable or may contain visual or audio defects that cannot be corrected.

Digitisation captures the content of the original media as it exists at the time of transfer.

Delivery of Materials

Where possible, we recommend dropping off and collecting your materials in person.

Materials sent by post are sent at the sender’s own risk, and we cannot accept liability for items lost or damaged during transit.

All original materials will be returned to the client once the project is complete.

Copyright & Music

All delivered videos are provided without music.

We do not add commercial or copyrighted music to any videos due to copyright restrictions.

Clients are free to add their own music after delivery for private use only.

Content Ownership

All original materials provided by the client remain the property of the client.

By providing photographs, videos, or other materials, the client confirms that they have the right to use these materials.

Digitised files and edited videos are provided for personal use only unless otherwise agreed.

Quality Expectations

The quality of digitised files depends on the condition and original recording quality of the source material.

Older media may contain visual noise, colour fading, tracking issues, or audio inconsistencies that cannot be corrected as part of the digitisation process.

We cannot guarantee improvements to the original quality of recordings.

Revisions

Digitisation services do not include revisions.

Editing services and design services include one revision, limited to a maximum of one hour of editing time.

Additional revisions or requested changes beyond this may incur additional charges.

Data Retention

Finished files are stored temporarily after delivery.

Long-term storage of files is not guaranteed, and files may be deleted after a reasonable period.

Clients are responsible for downloading and backing up their files once they have been delivered.

Accuracy of Information

For funeral and wedding services, clients are responsible for providing accurate names, dates, text, and other information.

While drafts are provided for review, the final responsibility for checking spelling, content, and accuracy rests with the client before printing or final delivery.

Payment

Payment terms will be agreed before work begins.

Some projects may require full or partial payment in advance.

Completed files, designs, or digital materials will not be released until payment has been received in full.

Cancellations

Projects may be cancelled before work begins.

Once digitisation, editing, or design work has started, cancellations are non-refundable due to the time and work already invested in the project.

Unplayable or Blank Media

Some tapes, DVDs, or other media may be blank, damaged, or partially unplayable due to age or deterioration. In such cases, we cannot guarantee that content can be captured or recovered.

If a tape contains no usable footage, the digitisation service fee may still apply due to the time required to inspect and attempt playback.

We are not responsible for missing recordings, gaps in footage, or incomplete recordings present on the original media. Digitisation captures the content exactly as it exists on the original material.

Client-Supplied Content

The client is responsible for ensuring that all photographs, videos, and other materials provided for editing or design are appropriate and that they have permission to use them.

We are not responsible for verifying ownership or permissions for client-supplied materials.
